The Office Manager must be able to ensure the seamless running of the office and help to improve Company procedures and day-to-day operation.

Job Summary

Provide general affairs services to all employees in the Company and ensure optimum use of Company resources in managing: office facilities, fixed assets and equipment, car park,, office supplies and procurement.

Your Responsibilities

Office Facilities

    • Coordinate and manage office renovation (layout change), office additions / alterations and maintenance
    • Coordinate and plan workstation arrangement
    • Liaise with HR / IT on on-boarding of new hires - workstation and staff pass preparation and ensure hardware is ready
    • Supervise cleaning staff and cleanliness of the office premise
    • Manage utilisation of office resources
    • Manage pantry and office equipment, supplies, furniture, machines, supplies and maintenance requests
    • Manage annual check on office assets
    • Manage contracts and price negotiations with office vendors, service providers & etc
    • Manage office lease

Office Maintenance

    • Liaise with building management for maintenance work
    • Supervise pest control services

Policies and Procedures

    • Partner with HR to update and maintain office policies as and when necessary
    • Organize office operations and procedures

Workplace Health & Safety

    • Understand the standard of workplace health and safety
    • Coordinate fire-drill (fire warden)
    • Implement measures to comply to Workplace Health and Safety requirements

Parking Lot Allocation

    • Manage staff car parking allocation according to Company policy

                Admin

                Create ad-hoc reports

                Address employees’ inquiries on office management issues

               Source for products and services to support office and business requirements

Requirements

    • Diploma in any discipline with at least 2 to 3 years of relevant working experience
    • A team player with strong sense of responsibility, work independently, problem-solver, good time management, good multi-tasking and communication skills
